REVENUE/GUIDELINES


As a BA of the Allies in Hope Walk to End HIV 2024, your organization agrees to abide by the following policies: 


  1. All BAs must have official 501(c)3 status prior to submitting an agreement.
  2. All funds raised by a BA are restricted for use by the HIV/AIDS organization, or the specific HIV/AIDS program of the agency on whose behalf the application for funding was submitted.
  3. A BA's gross funds raised shall be determined by the total amount of funds received by Allies in Hope from all walkers officially registered with the organization's team (see: "Fundraising Team"). A walker will not be considered registered to a BA's team unless they are officially registered in our online database (see: "Funraise").
  4. Tier 1: Raise $30K+ = 75% BA; 25% Allies;
    Tier 2: Raise $20K -$29,999 = 65% BA; 35% Allies;
    Tier 3: Raise less than $20K = 60% BA; 40% Allies.
     
    BA percents described above do not include processing and credit card fees outlined below (see: "Funraise"). BA's are responsible for such fees and these fees will be deducted from the dollar amount received.
  5. The total amount of all non-collectible checks returned to Allies in Hope attributed to a walker registered as part of a BA will be deducted from the BA's total before beneficiary distribution. In addition, a $35.00 bank fee will be charged for all returned checks.
  6. There is no minimum guarantee distribution.
  7. Please note that all matching gift forms for contributions must be submitted by the day of the Allies in Hope Walk to End HIV 2024 celebration event. Matching gift monies awarded after initial payout at the beginning of June 2024 will be disbursed to BAs in September 2024.
  8. Any events, sales or fundraisers held under the Allies in Hope Walk to End HIV 2024 umbrella must be approved by the Allies in Hope Advancement team, and all proceeds must go toward the BA's walk revenue. BAs must report all gross dollars from any external Walk fundraiser or special event to their team earnings. All event signage for fundraisers must be approved by the Allies in Hope Advancement team and state "Allies in Hope Walk to End HIV 2024". Not adhering to these policies may result in disqualification from the Walk.
  9. Although the Advancement team at Allies in Hope is here to assist when needed, each BA is responsible for registering their team members, assisting their individual team members, and tracking team members, team roster and fundraising progress.
  10. Any team publication or solicitation regarding the event must address it as the "Allies in Hope Walk to End HIV 2024" and include the event logo. You will receive the logo via email upon approval of your BA application.

 

FUNRAISE


Allies in Hope will host BAs (and all other Walk participants) via an online fundraising software called Funraise. Funraise enables event participants to create a personalized donation page that can be emailed or shared with family, friends, classmates and colleagues to help them reach their fundraising goals. BAs will be bound to the following agreement regarding Funraise:

  • Online and offline processing fees will be charged to the BA. (Processing fees include administration, security, authorization, processing and reconciliation services)
  • Credit Card processing fees will be charged to the BA.
  • The fees outlined above have been negotiated for all event participants. There are no exceptions, even for the hosting agency (Allies in Hope)
  • A transaction summary will be provided to all BAs at the time of payout.

 

FUNDRAISING TEAM


BAs are required to form a fundraising team via Funraise. BAs are encouraged to register their agency's board members, employees, donors, volunteers, clients, families and friends to raise funds and walk on their walk team.


Prior to soliciting any business, school, or community group to walk with your team, BAs must submit a written request to the Allies in Hope Advancement team at least one week prior to solicitation. Please contact Katherine Mestousis at mestousisk@aihhouston.org to submit your request. BAs may not solicit corporate teams, employee groups, or company/individual already or previously participating in the Walk to be on their team. The Allies in Hope Advancement team will grant requests on a case-by-case basis. Allies in Hope's decision will be final in all cases. BAs may contact the organizations specifically identified in their request only after the Allies in Hope Advancement team has approved and documented the request.


There will be no affiliate teams permitted. Any business, school or community group must be part of the BA's team.


BAs may not conduct any advertising (print, radio, internet, or television), media campaigns, promotions, or events that solicit walkers or walk teams to join their effort without the written approval of the Allies in Hope Advancement team. All media requests should be forwarded to Kelly Nicholls at nichollsk@aihhouston.org.


All press releases regarding the BA's participation in the event must include the following: "Allies in Hope Walk to End HIV 2024", and be submitted to Katherine Mestousis at mestousisk@aihhouston.org for approval 5 business days prior to the requested publish date.


Official Walk promotional materials will be provided for each BA. Specific team-coded/labeled pledge sheets may not be placed in local businesses, offices, etc.


Allies in Hope will not contact or use the donor or team members information of the participating BA unless the donor or team member has also donated, volunteered, or supported the programs and services of Allies in Hope in any way.


BAs are required to display the Walk logo on their website as well as list Allies in Hope as a donor should they receive monies from the walk proceeds. Please contact Katherine Mestousis at mestousisk@aihhouston.org if you have any questions

 

DISTRIBUTION OF FUNDS RAISED


Check disbursement to BAs will be made by June 2024 at our Allies in Hope Walk to End HIV 2024 celebration event. An itemized transaction, donor, and fee summary will accompany the check.


Allies in Hope retains the authority to cancel this agreement if a BA violates any of the policies set forth in this agreement. Upon cancellation, any right to proceeds by the violating BA will be forfeited.
